How long is version history kept?
Versions are kept indefinitely, with no 30-day cap, no count limit, and no auto-purge. Open any file's Information panel, switch to the Versioning tab, and you'll see every save, who made it, and when. Retention is configurable at the workspace level for organizations that need scheduled purge. (The 30-day window you see elsewhere on this page is for files you actively deleted, smart trash, which is a separate thing.)
What does the audit trail actually capture?
Open, edit, share, download, rename, move, duplicate, copy, delete, restore, permission change, approval state change, for every file. Each entry records the user, timestamp, IP, and device. Filter by user, by file, by action type, or by date range. Export to PDF or CSV.
Can I see who opened the PDF I sent to a supplier?
Yes. External shares with email confirmation log every open, with the recipient's email, timestamp, and IP, on the file's audit trail. If you turn off Allow Download, you also see opens with no download.
Can we control exactly what external recipients can do?
Yes. Every external share lets you toggle Allow Download, require email confirmation before access, and protect the link with a password. For folders, you can also toggle Allow Upload. Every external action is logged on the file, and you can stop sharing in one click.
What permission levels can we set for internal sharing?
Three levels: View only (read access), Edit (read and write, plus upload), and Manage (full access including delete). Set at the folder level and inherit downward, or override per sub-folder.
Where does Optiwork AI work, and where doesn't it?
AI runs only inside company-managed folders, with the folder's permissions and audit log applied. It cannot generate content in personal scratch folders or outside the governed workspace. This keeps generated content auditable and bound to your information architecture.
How does two-factor authentication work?
Two options: the Optiwork Mobile app (push approval at login) or any standard authenticator app, including Google Authenticator, 1Password, and Authy. Configurable per user under Security in the account menu.
How do we upload large folders or migrate at scale?
Standard upload supports drag and drop, system selector, copy-paste, and folder upload. For very large transfers, your Customer Success analyst plans a server-side migration that preserves structure, permissions, and version history wherever the source system allows.
Will our existing files still work?
Yes. .docx, .xlsx, .pptx, .pdf, and 200+ other formats render natively in preview and open in our collaborative editor for inline editing. Office files round-trip without loss.
Is the data safe? Where does it live?
Files are encrypted in transit and at rest. Infrastructure is ISO 27001-ready and hosted in [region]. Enterprise plans add dedicated infrastructure, SAML SSO, scheduled retention purges, and granular residency choices. Your data is exportable, in standard formats, at any time.
